The organizers of an international academic conference approached GRAGO ahead of a five-day program. More than 300 delegates from over 30 countries were attending, including VIPs requiring dedicated protocol — a Nobel-laureate-class keynote speaker and several government advisors among them.
The brief was direct: "From the moment a delegate steps off the plane until the closing ceremony, remove every friction of movement and stay so that everyone can focus solely on the conference itself."
With group protocol, the difficulty lies less in scale than in simultaneity.
GRAGO bound the event into a single integrated operating line, then split it into parallel tracks running at once.
We consolidated fragmented flights into regional group aviation blocks and secured room blocks across three nearby hotels. A rooming list cross-referencing country, session, and seniority pre-assigned every room, so check-in required nothing more than handing over a key.
We staffed a permanent GRAGO arrival desk at each of the four airports. Multilingual teams received delegates flight by flight and handled on-site registration and badge issuance on the spot — so that registration was already complete by the time delegates reached their hotels.
We decomposed arrival, session, and dinner schedules into time-banded shuttle plans. A live dispatch control room tracked flight delays and reassigned vehicles dynamically, cutting both empty runs and waiting lines at the same time.
The keynote speaker and key VIPs ran on a separate protocol track. Dedicated reception, protocol vehicles, and back-of-house routing were agreed in advance so their paths never crossed the general delegation.
